This Privacy Policy covers the information we collect about you when you use our products or otherwise interact with us, when you register for a trial, become Orcanos customer, via Orcanos support channels, or any other way. We only collect the information that we actually need.
Information that is given by you voluntarily when you sign up and fill Orcanos site’s registration form (such as name and e-mail address, phone, company name, etc.) or when you register for an event, use Orcanos support channels, Orcanos system user details, or pay for licenses. We store and encrypt your name and contact information, but we don’t store credit card numbers.
When you visit one of our websites or use our software, we automatically log some basic information like how you got to the site, where you navigated within it, and what features and settings you use. We may use this information to improve our websites and services.
We use customer contact information from the registration form to send the user information about our company, and to provide access to secured areas within our technical support site. The customer’s contact information is also used to contact the visitor when necessary. Contact information from the order form is used to send product information to our customers. We may use data from our registration forms to send the user information about our company. Users may opt-out of receiving future mailings.
Sometimes we receive information indirectly, such as when you engage with our brand on social media (for instance, liking, contacting via linked in and more), we’ll have access to your interactions and profile information. We’ll still have that information even if you later remove it from the social media site.
We use Google Analytics JavaScript in web pages to collect aggregate statistical data about how our site is used and accessed. Data is sent to and stored by Google in accordance with Google Analytics privacy policies. No personally identifiable information is transmitted or stored, and data is reported to us in only various statistical aggregations.
Other scripts may be used on some web pages to deliver downloads or provide dynamic functionality on a web page. Except for online forms and the above mentioned Google Analytics scripts, scripts on our web pages are not used for information collection
Your data is processed for the following purposes:
To provide you with services: We use information about you to provide the Services to you, including to process transactions with you, authenticate you when you log in, provide customer support, and operate and maintain the Services. Our Services also include tailored features that personalize your experience, enhance your productivity. When you use multiple Services, we combine information about you and your activities to provide an integrated experience, such as to allow you to find information from one Service while searching from another or to present relevant product information as you travel across our websites.
Billing: Sending emails, quotations, invoices, receipts, etc. We use third parties for secure credit card transaction processing, and those third parties collect billing information to process your orders and credit card payments.

Data analytics: Our data analytics may use data from Orcanos accounts, to provide and improve the Services. This information is not containing personal data. We use collective learnings about how people use our Services and feedback provided directly to us to troubleshoot and to identify trends, usage, activity patterns and areas for integration and improvement of the Services. We also test and analyze certain new features with some users before rolling the feature out to all users.
Marketing and promotion of our services: We use your contact information and information about how you use the Services to send promotional communications that may be of specific interest to you, including by email. These communications are aimed at driving engagement and maximizing what you get out of the Services, including information about new features, survey requests, newsletters, and events we think may be of interest to you. We also communicate with you about new product offers, promotions and contests. You can control whether you receive these communications as described below under “Opt-out.”
Safety and security: We use information about you and your Service use to verify accounts and activity, to monitor suspicious or fraudulent activity and to identify violations of Service policies.
Protect our legitimate business interests and legal rights: where we believe it is necessary to protect our legal rights, interests and the interests of others, we use information about you in connection with legal claims, compliance, regulatory, and audit functions, and disclosures in connection with the acquisition, merger or sale of a business.

For example, we may publish testimonials or featured customer stories to promote the Services, with your permission. Where we rely on your consent as the legal basis, you have the right to withdraw your consent at any time, but this will not affect any processing that has already taken place.
Performance of a contract – When necessary to perform a contract to which you are a party or to take steps at your request before entering into a contract.
Legal obligation – When necessary to perform a legal obligation. For example, to respond to official requests for information or to retain invoices for the purpose of complying with potential tax audits.

Third-party service providers :
We use data hosting service providers in the United States and Europe and host the information we collect, and we use technical measures to secure your data. We also keep your information at 3rd party software such as accounting software (iCount), CRM (ZOHO), email and document management (Mailchimp), hard copies of billing documents, on the application database and our in-house Customer License Management (CLM) system.
While we implement safeguards designed to protect your information, no security system is impenetrable and due to the inherent nature of the Internet, we cannot guarantee that data, during transmission through the Internet or while stored on our systems or otherwise in our care, is absolutely safe from intrusion by others.
How long we keep information we collect about you depends on the type of information, as described in further detail below. After such time, we will either delete or anonymize your information.
Account information: We retain your account information for as long as your account is active and up to 24 months thereafter in case you decide to re-activate the Services. We also retain some of your information as necessary to comply with our legal obligations, to resolve disputes, to enforce our agreements, to support business operations, and to continue to develop and improve our Services.
Information you share on the Services: If your account is deleted, some of your information and the content you have provided will remain in order to allow your team members or other users to make full use of the Services.
Managed accounts: If the Services are made available to you through an organization (e.g., your employer), we retain your information as long as required by the administrator of your account.
Marketing information: If you have elected to receive marketing emails from us, we retain information about your marketing preferences for a reasonable period of time from the date you last expressed interest in our Services, such as when you last opened an email from us or ceased using your Orcanos account. We retain information derived from cookies and other tracking technologies for a reasonable period of time from the date such information was created.
Right of access – You can request a copy of the personal data we hold about you. For example, if you created an account on our website, you can request that we send you a copy of the information we hold about you. However, if we are unable to associate the information with you, it can be excluded from our response.
Right to rectification – If we have entered your personal data incorrectly, you can request that we fix it. To certain extent, you can update your profile information within your profile settings.
Right to erasure (‘right to be forgotten’) – You can request that we delete all your personal data. For example, you can request that we delete your account with Orcanos. However, be mindful that there are circumstances when such requests can be denied, including when we need to continue processing your data to comply with legal obligations imposed on us or for the exercise or defence of legal claims. You may also remove certain profile information within your profile settings. Please note, however, that we may need to retain certain information for record keeping purposes, to complete transactions or to comply with our legal obligations.
Right to restriction of processing – In the case we enter into an argument regarding the processing of your data, you can request that we stop processing it until the argument is resolved.
Right to data portability – You can receive all of your own data in commonly-readable format. Depending on the context, this applies to some of your information, but not to all of your information. Should you request it, we will provide you with an electronic file of your basic account information and the information you create on the spaces you under your sole control, like your personal Orcanos account.
Right to object – In cases where you think your data may have been processed without proper justification. For example, if you believe a service account was created for you without your permission or you are no longer an active user, you can request that we delete your account as provided in this policy.
Right to lodge a complaint – You have the right to lodge a complaint with the Supervisory Authority in the country where you reside, work or where the alleged infringement took place.
Right to withdraw consent – You can withdraw your consent to any processing you previously agreed to.
Opt out of communications: You may opt out of receiving promotional communications from us by using the unsubscribe link within each email, or by contacting us as provided below to have your contact information removed from our promotional email list or registration database. Even after you opt out from receiving promotional messages from us, you will continue to receive transactional messages from us regarding our Services. Your request and choices may be limited in certain cases: for example, if fulfilling your request would reveal information about another person, or if you ask to delete information which we or your administrator are permitted by law or have compelling legitimate interests to keep. Where you have asked us to share data with third parties, for example, by installing third-party apps, you will need to contact those third-party service providers directly to have your information deleted or otherwise restricted. If you have unresolved concerns, you may have the right to complain to a data protection authority in the country where you live, where you work or where you feel your rights were infringed.
We use cookies to authenticate your account, and keep your preferences using Orcanos service.
We may use cookies on some web pages to deliver personalized content, smoother and more streamlined interactions, and/or to tailor the information presented to the way you and others use the site. For example, we use web beacons in the emails we send on your behalf. These web beacons track certain behavior such as whether the email sent through the Services was delivered and opened and whether links within the email were clicked. They also allow us to collect information such as the recipient’s IP address, browser, email client type and other similar details. We use this information to measure the performance of your email campaigns, and to provide analytics information and enhance the effectiveness of our Services.
